Sharing projects

Introduction

This feature allows organizations to grant access to their Projects to other Organizations, facilitating collaboration and data exchange.

Sharing project with other Organizations

After Project Sharing has been enabled for your Organization, you can navigate to the Web Dashboard, choose a project and in the details page you should see a new section called Organizations.

Then click on Manage organizations and you'll be able to share the project.

By clicking the Share project button in the top-right you can add emails and set the access-level for external organizations. Only Viewer and Analyst roles are allowed. Viewers have read only permissions and Analysts have those plus the ability to upload data and run analyses. Learn more about Roles and Permissions.

It's possible to share with multiple organizations at the same time by passing a comma-separated list of emails.

The given emails are expected to be users that are already registered with Gencove and are Organization owners.

After clicking Share, users in the target Organization(s) will be able to access the Project according to their access level. Users with role viewer and above can see a project shared at the viewer level, users with role analyst and above can access the project shared at the analyst level.

Note

Only users with Owner role at the Organization-level can share projects.

Revoking access to a shared project

Navigate to the Manage organizations page as outlined in the previous section.

There you'll be able to see all active and past "shares".

By clicking Revoke button you'll get a dialog asking to confirm that you want to revoke access to the project.

Immediately after revoking access, all users from that Organization will be affected and unable to view/edit the Project and its Samples.

The history of revoked access will remain visible in this page.

Identifying shared projects

Projects that your Organization has shared with external organizations have an icon next to their name with an arrow pointing up.

Conversely, Projects that have been shared by another organization with your organization have an icon with an arrow pointing down.

If your Orgarnization has any shared projects, in the projects page, you'll see the Shared tab that filters and shows only the shared projects.

Leaving shared projects

When you have been granted access to a project from a different organization you can navigate to the project detail page.

You'll notice the section called Organization shows a different organization name than the one displayed next to your user name on the top right corner.

You can click the Leave project button on the top-right and you will be asked to confirm your action.

After leaving the project you'll be redirected to the projects page and immediately lose access to the Project and all its Samples.

It's also possible to select multiple projects and leave all of them at the same time from the Projects page.
